Allocations

The reservations space — statuses, assignment to a team member, search, filters, statistics, and what a single reservation holds.

Allocations replaces the Orders space. It gathers everything the agent booked into your calendar, plus everything your team entered by hand.

Views down the left side split the list by status, and the counters at the top repeat the total, the pending, the assigned, the confirmed and the completed. Statistics, at the foot of the same rail, swaps the list for a dashboard. A note below it points out that resources are managed in Settings → Resources.

The statuses

StatusWhat it means
PendingBooked but not yet confirmed by your team. This is the daily work queue.
AssignedSomeone on your team owns it. It is still unconfirmed — assignment says who is handling this, not this is settled.
ConfirmedYour team validated the slot with the customer.
CompletedThe service took place.
CancelledThe reservation will not happen.

Search, filter, export

Search accepts the customer's name, their phone number, the service type or the description. The dropdown immediately to its right decides how wide it looks:

Three filters sit beside the search box — Dates, the assignee filter (Anyone), and All resource types — with a sort control offering Recently added. Export takes the list out as a file.

The date filter separates three moments: when the reservation was created, when it starts and when it ends.

The Filter by date popover holds three independent ranges — Created, Starts and Ends — and Apply commits them. Clear drops them again.

Give a reservation an owner

A reservation nobody owns is a reservation everybody assumes someone else is handling. Assignment fixes that.

Open a reservation and look at the foot of the panel: it reads Assigned to — Nobody yet, beside an Assign to button. The button opens a searchable list of your team; picking someone hands them the reservation, moves it into the Assigned view and stamps their name under the customer in the list.

The assignee filter in the toolbar reads the same field back:

Assignment does not confirm anything, and it does not notify the customer. It is an internal answer to whose job is this. See Team and roles for who can be assigned.

A single reservation

Clicking a row opens the panel on the right.

NotesInternal remarks for the team, added one at a time with Add note. An empty block offers Add the first note; once there are notes, the list row carries a small 1 note counter. The customer never sees them.
SourceThe channel the reservation came from, and a View conversation button that reopens the discussion.
Assigned toWho owns it, at the foot of the panel, with the Assign to button beside it.

Three buttons at the foot of the panel move the reservation to Confirmed, Rejected or Cancelled.

A reservation that overlaps a full slot also carries a Conflict badge next to its status — it was accepted because the resource type allows overbooking. See Resources.

Statistics

Statistics, at the foot of the left rail, replaces the list with a dashboard over a period you choose — a granularity control (Daily and its neighbours), a date range, and Export PDF.

Five tiles run across the top: Allocations, Pending, Confirmed, Confirmation rate and Cancellation rate, each with its own sub-line — how many resources and units are active, how many reservations still need review, how many are completed. A strip underneath adds the things only a pattern can tell you: what share the agent booked on its own, how far ahead people book, and whether anything confirmed is actually coming up.

Below that, the charts: Allocations over time, By status, By channel, By kind, Top services by allocations and Top resources.

FAQ and troubleshooting

The customer answers block is empty

The resource type had no AI customer questions set when the reservation was made. Fill that field on the type and later bookings will carry the answers — see Resources.

I need next week's appointments

Open Dates and fill a range under Starts. Created would give you the bookings taken next week, which is a different list.

How do I see only what nobody has picked up?

Set the assignee filter to Unassigned.

Someone left the team — what happens to their reservations?

They keep their assignment and stay visible under that name. Filter by that member and reassign each one with Assign to.

I know a customer mentioned something but I cannot find it

Switch the search scope to Notes only and search the word your team would have written.

Can I move a reservation to another slot?

Yes. Open it and use the pencil on Schedule to change Starts at and Ends at.

Where did this reservation come from?

The Source block names the channel, and View conversation reopens the thread it was booked in.

What's next?

Not every appointment arrives through a conversation. Some you take yourself.
